I tested Xero right after doing my own taxes with another tool, so I came in with fresh memories of every receipt I had to sort by hand. This page collects every question about Xero accounting I had myself or got asked afterwards, with short answers based on my test. If you want to go deeper, I link to my detailed guides along the way.

But first let me explain how I tested Xero and share some insights from the test.

My Xero Test and Verdict

How did you test Xero?

I tested Xero as a real small business owner, after doing my own taxes with another tool. I went through the onboarding, imported my bank statements, set up bank rules and reconciled my transactions. I also tested Xero's AI agent, JAX, on three tasks and ran Xero Analytics on dummy data. I've tested over 450 AI tools since 2023, and you can read the full results in my Xero review.

What are the biggest pros and cons of Xero?

The biggest pro of Xero is how much it helps you: it automates everyday tasks like bank rules and reconciliation and makes my life a lot easier. For example, bank rules categorize your recurring expenses automatically, and the reconciliation overview lets you check and edit many transactions at once. Xero clearly understands small business owners, and its small optimizations saved me a lot of time every month. The con is that not everything works 100% yet: Xero's AI agent forgot to add the client's address when it created an invoice for me. It was still in beta when I tested it in August 2026, though, and it already worked well. To see how Xero compares to other tools, check my accounting software comparison.

Is Xero worth it for a small business?

Yes, I think Xero is worth it for small businesses, because the whole software is really well thought out and makes accounting so much easier. You can tell that Xero was built with small business owners in mind. It has great features like bank rules, fast bank reconciliation, its AI agent JAX and Xero Analytics, and the time I saved with them added up quickly. If you want to try it, my Xero link gets you 80% off for the first 6 months (I earn a small commission if you sign up through it, at no extra cost to you).

Xero Accounting Basics

What is Xero accounting software?

Xero is cloud-based accounting software built for small businesses. It handles bank reconciliation, invoicing, bills, expense tracking and financial reporting in one place. Xero also has its own AI agent and AI-generated performance insights in Xero Analytics, which were the two features I was most curious about and positively surprised by in the end. You can use Xero with or without an accountant.

Who is Xero made for?

Xero is made for small businesses, solopreneurs and the accountants and bookkeepers who work with them. In my test, it felt well suited for people who don't have a finance background and want their accounting to run without spreadsheets.

Is Xero good for businesses without an accountant?

Xero is a good choice if you don't have an accountant, and it works just as well if you do. I don't have one, because my business is simple enough without. Xero Analytics gives me a monthly overview of how my business is doing, which I'd otherwise never get. If you do work with an accountant, Xero makes that easy too, because you can invite them to work in your books in real time, and every plan comes with unlimited users.

Is Xero cloud-based?

Yes, Xero is fully cloud-based, so you log in through your browser and don't install anything. Your data is available from any device, and your accountant can access the same books without you sending files back and forth.

Does Xero have a mobile app?

Yes, Xero has a mobile app for iOS and Android. You can use it to check your bank balances, send invoices and capture receipts on the go. I find it especially handy for capturing receipts, so if I lose them in the depths of my purse later, it's already registered.

Is Xero hard to learn?

Xero accounting isn't hard to learn. The onboarding asks you a few questions about your business, and in my case the basics were done in under 30 minutes. I'd recommend starting with your bank account and invoices, then adding more features step by step once you're comfortable.

Xero Plans

How do I choose the right Xero plan?

I'd choose a Xero plan based on two things: how many invoices you send each month and whether you need payroll. The smaller plans limit how many invoices and bills you can process, so check the current limits against your monthly volume before you pick one. My advice: start with the plan that fits your current volume and upgrade once you actually hit the limits.

Which features are included in every Xero plan?

Every Xero plan includes the core accounting features a small business needs every day. You can reconcile your bank transactions, accept online payments for your invoices, pay bills online (standard ACH payments are free in the US), capture receipts and bills with Smart Document Capture, handle sales tax and manage W-9 and 1099 forms. Every plan also includes real-time reports and a cash flow forecast. The plans mainly differ in how many invoices and bills you can process, how far ahead the cash flow forecast goes, and extras like budgets, multiple currencies and auto-reconcile. Payroll can be added to every plan for an extra fee. In the US that's Xero Payroll, powered by Gusto, so check xero.com for the current pricing.

Is there a free trial or discount for Xero?

Offers on Xero's website change from time to time, so it's worth checking xero.com for the latest. With my Xero link you get 80% off your plan for the first 6 months, which is super handy if you're just starting out (I earn a small commission if you sign up through it, at no extra cost to you).

Getting Started with Xero

How long does Xero onboarding take?

For me, Xero onboarding took less than 30 minutes for the basics. After confirming my email, I answered a few questions about my business, set a password and my fiscal year, and was ready to go. I see the rest as a rolling process: add your bank data first, then work through the other features one at a time.

What should I set up first in Xero?

I'd start by setting up the foundation: your financial year end, your tax basis and, if relevant, your sales tax settings. Getting these right at the start keeps things from getting messy later. After that, connect your bank account or import your statements. I walk through every step in my Xero setup guide for small businesses.

What is the Xero Coaches program?

The Xero Coaches program gives new US subscribers free one-on-one onboarding calls during their first 90 days. It's a great option if you prefer asking a real person over figuring things out alone, or if you just want to jump on a call when you get stuck.

Is Xero good for small businesses?

Yes, Xero accounting is a very good fit for small businesses, because most of its features are built around the jobs small business owners hate doing manually. Bank rules automate recurring expenses, Xero's AI agent can create invoices for you, and Xero Analytics tells you how your business is doing without you having to build reports. I love saving time with automation and Xero's AI features are also doing their part.

Is Xero good for solopreneurs?

Xero works well for solopreneurs, because the setup is quick and the automations take over a lot of the repetitive work. I'm a solopreneur myself, and most of my expenses are AI tools and software subscriptions. One of my favorite but simple features are Xero's bank rules, which make that part of my accounting run almost on autopilot. I set up a rule once, and from then on Xero suggests the same account every time that payment comes in, so I just have to confirm it.

Bank Feeds and Importing

What if my bank isn't listed in Xero?

If your bank isn't listed in Xero, you can still import your bank statements manually as a file. My online bank wasn't on the list, so I went this route, and it worked well. You enter your account details once and then upload your statements whenever you want to update your transactions.

Which file formats can I import into Xero?

Xero accepts bank statements as OFX, QFX, QIF, QBO or CSV files. Xero recommends OFX, QFX or QuickBooks files over QIF or CSV, so use one of those if your bank offers it.

How does column mapping work in Xero?

Column mapping in Xero means telling Xero which column in your bank file matches which Xero field, like date, amount or payee. I found it very straightforward: you see your file's original column names and simply assign each one to the right Xero value.

Bank Reconciliation

What is bank reconciliation in Xero?

Bank reconciliation in Xero means matching the transactions from your bank with the invoices, bills and payments in your Xero account. Each transaction gets one of three treatments:

  • Match: the transaction belongs to an invoice or bill you already entered, Xero suggests the match and you confirm it
  • Spend or receive money: there's no invoice or bill behind it, like a subscription charge or a bank fee, so you create the transaction right from the bank line and assign it to an account such as "Software fee" or "Advertising"
  • Transfer: the money just moved between your own accounts, like from your bank to PayPal, so you record it as a transfer

How often should I reconcile in Xero?

How often you reconcile in Xero depends on how many transactions your business has. I do it monthly, because I still remember what each payment was for and don't have to dig through emails to figure it out. If you have a lot of daily transactions, weekly might suit you better.

Automations and Bank Rules

What are bank rules in Xero?

Bank rules in Xero automatically categorize transactions that come in regularly, so you don't have to assign them by hand every time. There are three types: spend money rules, receive money rules and transfer money rules. I explain how to get the most out of them in my post on Xero automations.

What's a good first bank rule to set up?

A good first bank rule in Xero is one for a subscription you pay every month. I created a rule that says Webflow as a payee always means "Website subscription." Since most of my expenses are AI tools and software, a handful of rules like this would have saved me hours when I did my taxes.

Can Xero reconcile transactions automatically?

Yes, Xero can reconcile transactions automatically with its auto-reconcile feature. When you turn it on, Xero's AI agent, JAX, reconciles new bank lines it's confident about, and you can still undo or edit them anytime. The feature was still in beta when I tested it in August 2026, and in the US it's available on the Growing plan and above. More on this in my Xero automation guide.

Xero's AI Agent

Does Xero have AI?

Yes, Xero accounting has AI built in. The main piece is JAX, Xero's AI agent, which you talk to in a chat. Xero also uses AI for auto-reconciling bank transactions and for the performance insights in Xero Analytics.

What can Xero's AI agent do for a small business?

Xero's AI agent can analyze your revenue, profit and expenses, create and send invoices and quotes, create new contacts and answer questions about how to use Xero. It can also explain accounting terms and search the web for business information. Creating bills directly wasn't possible yet when I tested it, but the agent guides you through doing it yourself. I tested it on three real tasks in my Xero JAX review. At that time JAX was still in beta, and Xero keeps adding new capabilities to it.

Xero Analytics

What is Xero Analytics?

Xero Analytics is Xero's reporting feature, which turns your accounting data into visual reports and AI-generated performance insights. Core Xero Analytics is included in every Xero plan and covers a business snapshot, short-term cash flow forecasting and profit and loss trends. On top of that, the AI writes you an executive summary of how your year went, a breakdown of what's working and what isn't, and a short list of concrete actions, like tightening your payment terms. You can also ask for AI insights on individual numbers, such as total income, total expenses or a specific bank account. Xero sets up a monthly email for you automatically, so your performance overview lands in your inbox without any setup.

What do Xero's AI performance insights tell you?

Xero's AI performance insights give you an executive summary of your year, a list of strengths and concerns and concrete actions to take. I didn't want to share my own finances publicly, so I tested it with Xero's demo company, which contains fictional data. It pointed out that net income swung from -$12,843.94 to $66,750.03 across the year, flagged that customers took up to 133 days to pay, and suggested following up on unpaid invoices after 7, 14 and 30 days. It's like a macro view on your business's finances, which I find super helpful.

How good are the AI insights on specific numbers?

In my test, the AI insights in Xero Analytics were very in-depth, and you can request them for individual numbers like total income, total expenses or a specific bank account. The only caveat is that you need some basic understanding of terms like gross profit margin or debtor days to get the most out of them. If something is unclear, you can ask Xero's AI agent to explain it.

Invoicing, Payments, Payroll and AP/AR

Can clients pay Xero invoices online?

Yes, clients can pay Xero invoices online once you connect a payment method like Stripe or GoCardless. I'd recommend setting this up right away, because most clients expect to pay with a click.

Can I see who owes me and who I owe in Xero?

Yes, Xero shows you at a glance who owes you money and who you still need to pay. I found the visualizations especially helpful, because I could see my open invoices and bills without running a report.

Does Xero have payroll?

Yes, Xero has its own native payroll in the US, powered by Gusto. I cover how it works in my detailed Xero review.

Does Xero handle accounts payable?

Yes, Xero handles accounts payable and receivable, including paying bills through its integration with Melio in the US. You can find more on this in my full Xero review.
